Part-time ArchivistLohan Associates, an architectural & interior design firm in downtown Chicago, is seeking a part-time Archivist for the management of its visual resources. Prime Function: The overall goal of this position is to continue to organize the Lohan Associate Marketing Archive utilizing the recently established system. The system is designed to provide a clear path to any information the Lohan Associate Marketing Department requires.
General Responsibilities:
Cataloguing Images •Organizes and catalogs marketing resources including project photographs, slides, past proposals/presentations and related data. •Tracks marketing resources with the image database, Image AXS Pro. This includes researching database systems, project data verification, filing, organization and data entry. •Creates a relational database using MS Access to expand the data collected on Image AXS Pro.
Maintaining Marketing Archive Policies •Communicates Marketing Archive policies and procedures to collection users and provides reference assistance. •Ensures materials are circulated properly. Enforces circulation policies. •Periodically updates policies and procedures to suit the growing needs of the Marketing Department. •Determines new policies for the handling of the Mies van der Rohe collection.
Stocking the Marketing Archive •Prepares and oversees Marketing Archive annual budget in conjunction with the Marketing Manager. •Purchases equipment for viewing, storing, labeling, archiving and monitoring visual resource materials. Checks stock regularly to see that everything needed is available. •Takes inventory periodically. •Maintains accurate records of stocked image duplicates and orders new images when appropriate.
Keeping Current •Keeps informed of new trends in the Visual Resource field by reading journals and current research. Membership to VRA and participation in standard listserv discussions, such as the VRA, ARLIS-NA and IMAGELIB is essential. Attendance at annual VRA conferences and helpful computer workshops should also be attended. •Informs Marketing Principal of unfulfilled professional development needs.
Knowledge and Skills: •Considerable knowledge of the principles and practices of museum/ slide library management. •Considerable skill in supervisory principles, practices and techniques, research methods, written and oral communication. •Computer literate. •Flexible.
Minimum Qualifications: •Some coursework in Art History, Architectural History or Architecture. •Museum curatorial or slide library experience; or •Any equivalent combination of experience, training and/or education approved by the personnel department.
